This summer the Video department consolidated with the Reserves/Media department to form the new Reserves/Audio-Video Media Services. In conjunction with the physical move, we have begun to look at our procedures, policies and forms to begin to merge our services and improve them in order to better serve our campus community. We will notify you of our progress. We are also testing a new upgrade to the Docutek Reserve software which is currently used and may have a new look to our pages in the near future. In the meantime, here are some hints to get your Reserve request addressed in a timely manner for this Fall semester. 1.          There are now three options for obtaining our forms from our Web site. There is a Word document, an Adobe Acrobat .pdf form, and an interactive Adobe Acrobat form that can be filled out online. After filling in the form online, you can print it and sign it before bringing your materials to the service desk. 2.          Please fill out the form completely and accurately. The information requested is important for our processing of the materials. Any form not done correctly impedes our workflow and does not allow us to do your processing in a timely manner. 3.          A signature is required on the Reserve List form. A form will not be accepted without one. If you send your form and materials with an assistant, please make sure that the form is filled out completely and signed by you. 4.          Include a syllabus for your class. This will help the student in locating the materials that are assigned. 5.          Remember, department staff will only pull library copies until the week before the start of the semester. Otherwise, it is the responsibility of the faculty member to pull any library books that are included on your Reserve List request. 6.          We cannot put items from other libraries or any interlibrary loan items in Reserves. 7.          The earlier we get your request, the sooner it will be processed. The Fall semester is always very busy, so at a minimum please allow 48 hours for processing your materials. 8.          Since the Video and Reserves have merged, videos/DVDs from the library collection will no longer be put on reserve. However, personal copies of videos/DVDs and CDs will still be put on reserve which will need to be processed with the Reserves List form. 9.          We will no longer accept double-sided copies for electronic reserves scanning. We must receive single-sided copies only. Once again, double-sided copies impede our workflow because we must then scan the item manually which takes longer. 10.      Guidelines for Photocopies To be in compliance with Copyright laws for all items (E-reserve AND traditional paper reserves): a.       We cannot accept more than one chapter from any one book (or 10% of the entire book, whichever is less), or more than one article from any one issue of a journal. b.      All photocopies must have complete bibliographical citations typed or legibly printed on the top page or on a cover page preceding the article. Journal articles often have this information already printed on them. If they do not, please add the citation. c.       For book chapters, please provide a complete citation for the source or include a photocopy of the title page of the book from which the chapter is copied. Photocopies for Electronic Reserve (E-reserve) must meet the following conditions as well: a.       High quality originals are required for best scanning results. b.      8.5x11 paper (no books or pamphlets) c.       Printed on one side only d.      Paper clipped (no staples!) e.       A limit of 15 items will be accepted for placement on E-reserve per course, per semester f.        A limit of 50 pages per item will be enforced g.       Limits on staff time and scanner capability require us to make this restriction in order to be fair to all faculty requesting items to be scanned for E-reserve.   Contact Judith Valdez, head of reserves/video, at ext.6-4999 or judith.valdez@cudenver.edu for more information or questions.
