Software Procurement FAQ

How do I request computer equipment or software for my machine? 

Contact the Help Desk to request computer equipment or software. Be as specific as you can when requesting hardware and software. Also, be aware that the college maintains a library of licenses to software packages, so you may not have to purchase them.


What is the procurement process for software requests?

  • Your help call or online form submission is recorded and immediately dispatched to software@msudenver.edu.

  • Procurement staff will contact you to verify the request and obtain any other information that may be needed to process the request.

  • A technician may visit your office in order to verify your current machine's configuration (RAM, Hard drive capacity, equipment specifications or software compatibility) and report the findings back to Technology Services. This information is critical to providing vendors with accurate specifications for the requested technology. 

  • Based upon the technician's findings and the specifications and quote from the vendor(s), Software Services  will request an SPO or Purchase Requisition (PR) number and will prepare the SPO or PR form. The SPO or PR form will then be returned to your department/account authority for approval and signature.

  • Once signed, your department will next return the SPO or PR to Software Services (fax 303-556-5037 or campus box 96) for processing.

  • Once approved, the SPO or PR is submitted Accounts Payable or to AHEC central purchasing and  tracked by Software Services. Your department will receive a copy of the approved SPO or Purchase Order when it is issued by Accounts Payable or AHEC.

  • All technology acquisitions will be delivered to software services. Software services will notify you of the arrival and make necessary arrangements for software installation.  Software and the number(s) of licenses issued will be recorded and tracked by Software Services prior to installation on your machine(s). In accordance with the college policy Copying Computer Software: "College employees and students do not have the right to reproduce licensed software or related documentation". All software will be installed by Customer Support staff in accordance with the applicable licensing agreement.
