Migrate Calendars, Contacts, and Documents in Gmail (

Introduction
-
Because of the university name change student Gmail and Google App accounts are being migrated from the @mscd.edu domain to a new domain, @msudenver.edu.
-
When you log into your new MSU Denver Gmail all of your email from the mscd.edu account will be there, labeled as “Migrated/Important”.

Contacts, Calendars and Documents however have not been imported to your new account. To backup this data just follow these few simple steps.
Calendars
To transfer calendars and events login to your mscd.edu account, at metroconnect.mscd.edu, and do the following:
Export Calendars

Go to the Calendar page
-
In the upper right corner click on the List Settings
button -
Select Settings
-

This will open the Calendar Settings page.
-
Select the Calendars tab
-

Under your list of calendars, you will see the option to import or export. Select Export calendars.

This will download a copy of your calendar and events to your device as a ZIP file.
-
Select Save File, then click OK

-
The file will be sent to your Downloads folder, drag it onto your desktop to save onto your computer.

Double click the file to open WinZIP
-
Click Extract
-

-
In the window that opens up, select the folder that you want to save the extracted calendar in below Extract To

Click Extract
-
The extracted calendar file will be saved on your computer
Import Calendars
-
Log into your msudenver.edu Google Apps account at connectu.msudenver.edu
-
Go to the Calendar page
-
In the upper right corner click on the List Settings
button -
Select Settings
-

-
This will open the Calendar Settings page.
-
Select the Calendars tab

-
Under your list of calendars, you will see the option to import or export. Select Import Calendar

-
In the Import Calendar window, click Browse and select the file saved on your computer
-
Next to Calendar: select the Google calendar that you want to import the events into
-
NOTE: Before you import your calendar events you will need to create the calendar in your Google account
-

Click Import

-
Google will process your events and let you know how many were added to the calendar
Contacts
Export Contacts
-
To transfer your contacts go to your My Contacts page. From the “More” drop-down menu, select Export.

-
Choose the contacts that you would like you export.
-
Selected contacts – In your contact list you can select specific contacts, choosing this option will export only the selected contacts
-
The group – If you have more than one contact group you can select what contact group to export
-
All contacts – this option will export all of your contacts
-
-
Make sure that the Export Format is set at Google CVS

-
Click Export.
-
In the Opening google.csv window select Save File and click OK
-
The file will be sent to your Downloads folder, drag the file from your Downloads folder to the desktop to save on your computer

Change Domain
All of your contacts, whose email domain is @mscd.edu, will no longer be valid. Do the following to change their domain to the new @mscudenver.edu
-
Open the .csv file you imported onto your desktop
-
It will open as a Microsoft Excel file. Do the following:
-
If you are on a PC, go to the Home tab > Editing group > click the Find & Select button> in the dropdown menu select Replace
-

If you are on a MAC, go to the Edit menu > select Replace
-
The find and replace dialog box will open

-
Next to Find what: type @mscd.edu
-
Next to Replace with: type @mscudenver.edu

-
Click Replace All
-
A window will open informing you of the number of replacements made, click OK

-
Close the Find and Replace window, and Save the document.
-
A window will open warning you that some features may not be available to save as a CSV, go ahead and click Yes

-
All of your contacts’ domain name will have changed from @mscd.edu to @msudenver.edu and are ready to be imported into your account
Import Contacts
-
Log into your new Google Apps account at connectu.msudenver.edu
-
Go to your Contacts page
-
From the More drop-down menu, select Import
-
-
In the Import Contacts window, click Browse and select the file saved on your desktop
-
Click Import

-
The contacts will be added to your contact list
Documents
Download Documents
If you have any Google Docs that you would like to keep still saved in your old Google Apps account you will need to back them up. To do this go the Google Doc home page and select the documents you would like to keep, do the following steps to download the file(s) to your computer
(1) DOWNLOAD A SINGLE FILE FROM GOOGLE DOCS ACCOUNT

In the Documents List. do one of the following:
-
Right click on a file you want to export and download > click Download

-
Select a file you want to export and download by clicking the checkbox > click on More button above the Documents List > choose Download

-
In the Convert and Download dialog box, under the Selected items tab, do the following:
-
Click on the down arrow and select a desired format options from the drop down list to convert from the Google Docs format to other formats for desktop
-
Click Download button
-

-
Select Save File, then click OK

-
The file will be sent to your Downloads folder, drag it onto your desktop to save onto your computer.
-
Double click the file to open WinZIP
-
Click Extract
-

-
In the window that opens up, select the folder that you want to save the extracted calendar in below Extract To

-
Click Extract

-
The extracted document will be saved on your computer
(2) DOWNLOAD MULTIPLE FILES FROM GOOGLE DOCS ACCOUNT
-
In the Documents List, select files you want to export and download by clicking their checkboxes
-
Click on More button above the Documents List > choose Download

-
In the Convert and Download dialog box, under the Selected items tab, do the following:
-
Click on the down arrow and select a desired format options from the drop down list of each file to designate how files will be converted to download into desktop
-
Click Download button
-

-
The selected files will be zipped into a .zip file

-
Select Save File, then click OK
-
The file will be sent to your Downloads folder, drag it onto your desktop to save onto your computer.

-
Double click the file to open WinZIP
-
Click Extract
-

-
In the window that opens up, select the folder that you want to save the extracted calendar in below Extract To

Click Extract

-
The extracted documents will be saved on your computer
(3) DOWNLOAD ALL THE FILES FROM GOOGLE DOCS ACCOUNT
-
In the Documents List, do one of the following:
-
Right click on any files > click Download
-

-
Select any file by clicking the checkbox > click on More button above the Documents List > choose Download

-
In the Convert and Download dialog box, select All Items tab, do the following:
-
If desired, click on the down arrow and select a desired format options from the drop down list of each file to designate how files will be converted to download into desktop
-
Click Download button
-

-
The selected files will be zipped into a .zip file
-
Select Save File, then click OK

-
The file will be sent to your Downloads folder, drag it onto your desktop to save onto your computer.

Double click the file to open WinZIP
-
Click Extract
-

-
In the window that opens up, select the folder that you want to save the extracted calendar in below Extract To

Click Extract

-
The extracted documents will be saved on your computer
Upload Documents
To add the files back to your Google account you will need to upload them from your computer
(1) UPLOAD DOCUMENT
-
Do the following to enable folder upload feature:
-
Confirm that Java is enable by visiting the Java test page
-
From the Navigation Panel, click on Upload button > select Enable folder upload…

-
In the Enable folder upload, click Install applet button

-
A security dialog will open asking if you want to allow an applet to run, click Run button

-
NOTE: You'll need to enable folder upload in these browsers each time you visit your Documents List
-
From the Navigation Panel, click Upload button > select Files and folders…

-
NOTE: If you'd like to upload a file directly to a collection, click the collection name in your Documents List before clicking the Upload button
-
You must have the latest version of Flash installed if you're working in Internet Explorer
-
Select the folder you'd like to upload to Google Docs > click Select button
-
-
NOTE: To select multiple folders, do one of the following:
-
Select the first folder > press CTRL on the keyboard and click other folders to select non-adjacent folders
-
Select the first folder > press SHIFT on the keyboard and click the last folder in the list to select all folders list
-

-
Your files will be converted and added to your Google account
(2) UPLOAD FILES
-
From the Navigation Panel, click Upload button > select File
-
NOTE: If you'd like to upload a file directly to a collection, click the collection name in your Documents List before clicking the Upload button
-

You must have the latest version of Flash installed if you're working in Internet Explorer

Select the file you'd like to upload to Google Docs > click Open button

NOTE: To select multiple files, do one of the following:
