Add and Modify Bookmarks

1.  Bookmarks are links that help you to navigate a long PDF document quickly, or to find specific information.

2.  You can see bookmarks by clicking the Bookmark  icon on the left panel of the document

3.  If there is a plus sign button before the bookmarks icon on the Bookmarks panel, click on it to drill down  and view the second level bookmarks

4.  You can create bookmarks in a PDF file in two ways:

  • Adding them manually in the Bookmarks panel in Adobe Acrobat
  • Creating the bookmarks on the original files before exporting them to PDF (recommended)

 

Create Bookmarks in Adobe InDesign

The way of automatically creating bookmarks in InDesign is through the Paragraph styles and table of contents

1.  Apply Paragraph Styles for Headings and Sections in the document to have InDesign automatically create bookmarks based on where those paragraph styles occur

2.   On the Menu Bar, click Layout menu > choose Table of Contents…


3.  In the Table of Contents dialog box, do the following:

  • Under Other Styles: drop down list, select paragraph styles you want to create bookmarks
  • Click Add button to place those styles in the Include Paragraph Styles list
  • If desired, click More Options button to set level of bookmarks
  • Under Options section, make sure the Create PDF Bookmarks check box is selected
  • Click OK

4.  The cursor will be loaded with the automatically generated Table of Contents. If you don’t want to have it be a part of the PDF, drag it out and put it on the pasteboard


5.  On the Menu Bar, click File menu > point to Adobe PDF Presets > choose [High Quality Print]…


6.  In the Export dialog box, do the following:

  • Locate where to save the exported file
  • Change the file name if desired
  • Click Save

7.  In the Export Adobe PDF dialog box, do the following:

  • Select General category
  • Under Include section, select Bookmarks check box
  • Click Export

 

Create Bookmarks in Microsoft Word

1.  Apply Styles for Headings and Sections in the document to have MS Word automatically create bookmarks based on where those paragraph styles occur

2.  On the Ribbon, click Acrobat tab > go to Create Adobe PDF group > click Preferences


3.  In the Acrobat PDFMaker dialog box, do the following:

  • Click Bookmarks tab
  • Under Bookmark Options section, select Convert Word Headings to Bookmarks check box
  • If desired, clear any check box under Bookmark column to set the level of bookmarks
  • Click OK

4.  On the Ribbon, click Acrobat tab > go to Create Adobe PDF group > click Create PDF


5.  In the Save Adobe PDF File As dialog box, do the following:

  • Locate where to save the exported file
  • Click Options… button

6.  In the Acrobat PDFMaker dialog box, under PDF Options section, do the following:

  • Select Create Bookmarks checkbox
  • Select Convert Word Headings to Bookmarks
  • Click OK

 

Create Bookmarks in Acrobat X Pro

1.  Click the Bookmark  icon on the left panel of the document

2.  In the PDF, go to the location that you want the bookmark to take you to

3.  On the Bookmark Panel, click New Bookmark  icon

4.  Enter the bookmark title on the Bookmark Panel


5.  To turn a bookmark into a subset of another bookmark, drag the bookmark to the right

 

Modify existing Bookmarks in Acrobat X Pro

1.  To rename a Bookmark heading, right-click on the bookmark > click Rename


2.  To remove any unnecessary bookmark, right-click on the bookmark > click Delete


3.  To change the font color and style of bookmarks, right-click on the bookmark > click Properties. In the Bookmark Properties dialog box, click Appearance tab > select any style or color to apply to the selected bookmark


 

Assign an Action for an Existing Bookmark

1.  Right-click on the bookmark > click Properties


2.  In the Bookmark Properties dialog box, do the following:

  • Click Actions tab
  • In the Select Action: drop down list, select Execute a menu item
  • Click Add button

  • In the Menu Item dialog box, select a desired action > click OK button

3.  In the Bookmark Properties dialog box, do the following:

  • Select Go to a page in this document > click Delete button
  • Click OK button

4.  On the Bookmark Panel, click the bookmark icon next to the heading to execute the action

 

Save Bookmarks with PDF File

Bookmarks will work whether somebody has Reader or Acrobat; however, most of users do not realize that the PDF file contain bookmarks. Therefore, it’s helpful to save your PDF with the bookmarks in order to have the Bookmark Panel appear by default when someone opens it

1.  On the Menu Bar, click File menu > click Properties

2.  In the Document Properties dialog box, do the following:

  • Click Initial View tab
  • Under Layout and Magnification section, click the Navigation tab list down arrow > choose Bookmarks Panel and Page
  • Click OK

3.  On the Menu Bar, click File menu > click Save as or Save
