Print, Summarize and Export Comments

Show/Hide Comments when Printing

By default all comments will appear when you print a PDF, to change this do the following:

1.  Open the PDF that you want to print

2.  Go to the File menu > click Print


3.  In the Print dialog box, under the Printer section, click on the drop down arrow below Comments and Forms: and select one of the following options:

  • Document- prints the document with no markups
  • Document and Markups- prints the document and any markups and comments
  • Document and Stamps- prints the document and any stamps added
  • Form fields only- prints only the form fields that have been created

 

Creat Comment Summary

If you are going to be viewing the PDF in a printed format, and you wish to see the comments in a list, similar to the Comments List, you can create a summary of all the comments in the PDF

1.  Open the PDF that you want to create a summary for

2.  Under the Comments List panel, click on the Options icon > click Create Comment Summary

 

3.  The Create Comment Summary window will open

4.  Select one of the following under Choose a Layout:

  • Document and comments with connector lines on separate pages

  • Document and comments with connector lines on single pages

  • Comments only

  • Document and comments with sequence numbers on separate pages

5.  Next to Paper Size: select the size of paper you will be printing on

6.  Next to Sort comments by: select how you want the comments to be ordered in the list

7.  For Font Size: click the circle next to the size of font you want for the comments

8.  Next to Include: choose if you want All comments or Only the comments currently showing to be included in the summary

9.  Check the box next to Pages containing no comments if you want to include pages that don’t have any comments in the comment summary

10.  Next to Pages type in the pages of the PDF that you want to include in the comment summary

11.  Click Create Comment Summary when you are finished

12.  This will open the Comment Summary as a new file which you can save on your computer and print

 

Dircetly Print Comment Summary

1.  Open the PDF that you want to print the summary for

2.  Under the Comments List panel, click on the Options icon >  click on Print with Comment Summary


3.  The Print dialog window will open, and you can see in the preview that your Comment Summary will print according to the settings for the last Comment Summary that you created

4.  Click Ok to print

 

Export and Import Comments

When working with an extremely long PDF, if both users have the same copy of the PDF, it may be easier to send just the comments you made, as a file, which the other user can then open and add to the PDF on their computer. To do this you would export your comments and the other user would import them into their copy of the PDF

 

Export Comments

1.  Open the PDF that has the comments you want to export

2.  Under the Comments List panel, click on the Options icon

3.  Click on Export All to Data File…


4.  In the Export Comments window, select a location to save the file and click Save


 

Import Comments

1.  Open the PDF that you want to import the comments into

2.  Under the Comments List panel, click on the Options icon

3.  Click on Import Data File…


4.  In the Import Comments window, locate and select the file containing the comments you want to import, click Select


5.  In the window that pops up, click OK if you are sure that you are using the same version of the PDF as the person who sent you the comments

6.  The comments will be added to the PDF
