Understand the Built-in Actions for Automation

  • Adobe Acrobat X contains a useful feature that allows you to string together various commands from menus and panels so that you can automate and standardize most common commands you do every day. These Actions help you with the production of your work and do not add anything to the content.
  • An Action always includes a description written by whoever created the Action and the three sections included in the action are:

 

(1)   Which kind of file you start with

(2)   The process that it is going to do that file or files

(3)   What it should do when its process is done

 

Introduce the Functions of Built-in Actions

1. On the Toolbar, click Tools


2. In the Tools pane, click Action Wizard > go to Actions section > select desired built-in Action

  • Archive Paper Documents – allows you to automate the process of taking paper documents, converting then to digital format, and saving them in an archive ready format (PDF/A) so they can’t be changed
  • Prepare for Distribution – allows you to take a document and distribute it to other people or the public
  • Get a Scan Doc from an MFP (Multi-Function Printer) – allows you to automate applying OCR to a document, then adding descriptions and tags to document them as you scan them in
  • Create Accessible PDFs – allows you to make sure that the PDF documents are accessible to people with visual disabilities
  • Prepare for Review – allows you to combine multiple files into a single PDF, add watermark, comments and send to other for review
  • Publish Sensitive Documents – prompts you to permanently remove confidential information (redact content, remove hidden information and reduce size of the file)
