Work with Portfolios

A Portfolio is an Adobe PDF that contains several other files that are compressed or zipped

.

 

View Files in a Folder

1.  Open the portfolio

2.  Double click on the folder you wish to open

.

3.  You will be able to see the little Cards that represent the files

.

 

Close a Folder in the Portfolio

Do one of the following:

  • Click on the back pointing arrow with the folder name

 

  • Click on the X in the upper right corner

.

 

Work with Files in an Portfolio

View a Specific Document Up Close

1.  Double click on the document to open a full preview

2.  Use the scroll arrows at the bottom to view all the pages in the file

     

3.  Click on the (i) in the circle to see more information about the PDF, such as the size, when it was created, and a description for the file.

 

4.  Click on the icon of a piece of paper with an arrow to extract that single file from the portfolio onto your computer.

 

5.  Click on the arrows either on the left or the right to see previous or next files in the portfolio

 

Open File in Adobe or Other Associated Program

1.  Click on Open File in the upper right hand corner

 

  • Note: Some files, such as Microsoft Excel worksheets, do not support the preview mode, clicking on them will only show an icon, you must open the file to view its contents

 

Layout View vs. Files View

To change the views, click on either Layout or Files on the Toolbar


Layout View

  • Shows files visually on a Card
  • Allows you to preview the content of some files

 

Files View

  • Less distracting
  • Files are presented in a list that can be sorted by clicking on column headers
  • You can view all the descriptions in one place
  • Double clicking a file opens it

 

 

Search, Print, and Send Protfolio

Search within the Portfolio

1.  Open the portfolio

2.  Click in the search box

 

3.  Type in the word or words you are searching for

  • Adobe will search all the files for instances of your search

 

4.  The files that contain your search query will appear in a list.

  • Click on a file name to see the list of where the word(s) appear

 

  • Double click on one of the instances to see a preview of where it is in the file

 

  • Click on the X in the upper left corner to close the preview

 

  • To close the search box, click on the X in the upper right corner

 

Print Files in the Portfolio

1.  Open the portfolio

2.  Select the file you want to print by clicking on it

 

  • Note:  To select more than one file, hold down the Control key on PCs or the Command key on MACs, while clicking on the files you wish to select

3.  Click on the Print button on the Toolbar


4.  In Print window that opens, under Print Range, make sure the circle Selected PDF files is selected

5.  Click OK to print the selected files

 Note: This only works for PDF files, in order to print other file types you must open them in their originating program and print from there

 

Email the Portfolio

1.  Open the portfolio

2.  Click on the envelope icon on the Toolbar


3.  A new message in Microsoft Outlook, or your computer’s default email message program, will open with the portfolio attached
