Upload Folders or Files to Google Docs

Google Docs provides 1 GB of space to use which allows uploading existing files which are less than 1024 MB from the computer to Google Docs account with two options:

1.   Store files in the Documents List so that they will be accessible from any computer with an Internet connection

2.   Convert into Google Docs format so that files can be actually edited online

 

Upload Folders

1.   Do the following to enable folder upload feature:

  • In the Enable folder upload, click Install applet button

  • A security dialog will open asking if you want to allow an applet to run, click Run button

NOTE   You'll need to enable folder upload in these browsers each time you visit your Documents List

2.   From the Navigation Panel, click Upload button > select Files and folders…

NOTE

  • If you'd like to upload a file directly to a collection, click the collection name in your Documents List before clicking the Upload button
  • You must have the latest version of Flash installed if you're working in Internet Explorer

3.   Select the folder you'd like to upload to Google Docs > click Select button

NOTE   To select multiple folders, do one of the following:

  • Select the first folder > press CTRL on the keyboard and click other folders to select random folders
  • Select the first folder > press SHIFT on the keyboard and click the last folder in the list to select all folders list

 

Upload Files 

1.   From the Navigation Panel, click Upload button > select File

NOTE

  • If you'd like to upload a file directly to a collection, click the collection name in your Documents List before clicking the Upload button
  • You must have the latest version of Flash installed if you're working in Internet Explorer

2.   Select the file you'd like to upload to Google Docs > click Open button

NOTE   To select multiple files, do one of the following:

  • Select the first file > press CTRL on the keyboard and click other files to select random files
  • Select the first file > press SHIFT on the keyboard and click the last file in the list to select all files list

 

Convert an Uploaded File to Google Docs Format

These are the file types that can be converted to Google Docs:

  • For spreadsheets: .xls, .xlsx, .ods, .csv, .tsv, .txt, .tab
  • For documents: .doc, .docx, .html, plain text (.txt), .rtf
  • For presentations: .ppt, .pps, .pptx
  • For drawings: .wmf
  • For OCR: .jpg, .gif, .png, .pdf

 

While Uploading a File

1.    In the Upload settings dialog box, select any of desired convert option check boxes if desire:

  • Convert documents, presentations, spreadsheets, and drawings to the corresponding Google Docs formats to be able to edit documents online
  • Convert text from PDF or image files to Google Docs documents to be able to edit them online
  • Confirm settings before each upload 

2.   Click Start upload button

3.   If the file(s) was uploaded and converted successfully, it will be marked as converted next to its title. You can click the X button on the top right corner to close the dialog box

 

After Uploading a File

If you decide to convert your file after it’s already been upload, do the following:

1.   In the Documents List, right click on a file you want to convert to Google Docs format > select Make a Google Docs copy

NOTE   This option is only available for uploaded files and you will not see it for any Google Docs documents

2.   When you select this option, you keep your original file intact, and your Google Docs copy appears in your list of documents

 

Error Message When Converting a File or Document

1.   If you’ve received an error message when trying to convert one of your files, wait a few minutes and try again.

2.   If you continue to see an error, the list below will help you troubleshoot the most common errors:

 

Export and Download Files from Google Docs

Google Docs not only allows uploading files but also downloading files into the desktop to make edits in desktop editing software



Download a Single File from Google Docs Account

1.   In the Documents List, do one of the following:

  • Right click on a file you want to export and download > click Download

  • Select a file you want to export and download by clicking the checkbox > click on More button above the Documents List > choose Download

2.   In the Convert and Download dialog box, under the Selected items tab, do the following:

  • Click on the down arrow and select a desired format options from the drop down list to convert from the Google Docs format to other formats for desktop
  • Click Download button and select the location to save the file on the local machine

 

Download Multiple Files from Google Docs Account

1.   In the Documents List, select files you want to export and download by clicking their checkboxes

2.   Click on More button above the Documents List  > choose Download

3.   In the Convert and Download dialog box, under the Selected items tab, do the following:

  • Click on the down arrow and select a desired format options from the drop down list of each file to designate how files will be converted to download into desktop
  • Click Download button

4.   The selected files will be zipped into a .zip file

5.   Select the location to save the .zip file on the local machine

 

Download All the Files from Google Docs Account

1.   In the Documents List, do one of the following:

  • Right click on any files > click Download

  • Select any file by clicking the checkbox > click on More button above the Documents List > choose Download

2.   In the Convert and Download dialog box,  select All Items tab, do the following:

  • If desired, click on the down arrow and select a desired format options from the drop down list of each file to designate how files will be converted to download into desktop
  • Click Download button

3.   The selected files will be zipped into a .zip file

4.   Select the location to save the .zip file on the local machine

 

Download an Item Open while Viewing a Doc or File

  • Click on a Google document, spreadsheet, presentation or drawing in the Documents List to open it

NOTE   The selected document must be converted to Google Docs format

  • Go to File > click Download As > select a desired option to convert the Google Docs file
