Define Conditional Formatting

Conditional formatting changes the appearance of a cell range based on a condition (or criteria) by highlighting interesting cells or ranges of cells, emphasizing unusual values, and visualizing data in terms of several types of formatting such as: data bars, color scales, and icon sets. The following are common criteria used to format a cell range based on condition:

  • Numbers/ dates that fall into a certain range

  • MIN/MAX value

  • Duplicate values

 

Apply Pre-Set Conditional Formatting

  • Select one or more cells in a range , table, or PivotTable report

  • Go to Home tab > Style group > click Conditional Formatting > select the desired format from the drop down menu


Custom Conditional Formatting

  • Select one or more cells in a range, table or PivotTable report

  • Go to Home tab > Style group > click Conditional Formatting > select Manage Rules.

  • In the Conditional Formatting Rules Manager dialog box, do any of the following:

    • In the Show formatting rules for section, make sure that the appropriate worksheet, table, or PivotTable report is selected

    • To add a conditional format, click New Rule

    • To change a conditional format, do any of the following:
      • In the Applies to box, click Collapse Dialog Box   to change the range of cells by selecting the new range of cells on the worksheet ð click Expand Dialog Box 

      • Under Rule column, select the rule > click Edit rule.
