Use Ribbon and Quick Access Toolbar

Use the Ribbon

The Ribbon stretches across the top of the work area in Word, Excel, PowerPoint and Access. It displays groups of related commands in tabs.

  •  To activate Ribbon Mode, press ALT key

  •  To exit Ribbon Mode, press ESC key

Command Tabs and Groups

Each tab has several groups that show related items together, and each tab can contain more than one sub-tab

Command Tabs
  • Home tab - Clipboard, Font, Alignment, Number, Styles, Cells, and Editing

  • Insert tab - Tables, Illustrations, Charts, Sparklines, Filter, Links, Text and Symbols.

  •  Page Layout tab - Themes, Page Setup, Scale to Fit, Sheet Options and Arrange.

  • Formulas tab - Function Library, Defined Names, Formula Auditing and Calculations

  • Data tab - Get External Data, Connections, Sort & Filter, Data Tools and Outline. 

  • Review tab - Proofing (spell check and thesaurus), Language, Comments and Changes.

  • View tab - Workbook Views, Show, Zoom, Windows and Macros.

  • File tab or Backstage View - New to Excel 2010, previously known as the Office Button includes options to save, save as, open, close, recent workbooks, new, print, save and send, help, and general options. On right side of window, users can find the properties of the item being accessed depending on options selected 

Command Groups
  • Change depending on which tab you’ve selected. If you do not see a certain command from the previous version, notice some groups have a small diagonal arrow in the lower-right corner.

  • The arrow is called a Dialog Box Launcher. If you click it, you'll see more options related to that group.

Customize the Ribbon Bar

  • Do one of the following:

    • Go to File tab > click Customize Ribbon

    • Right click on the Ribbon bar > select Customize the Ribbon… from pop-up menu

  • Customization features:

    • Change the order of the tabs on the Ribbon Bar

    • To create a new group to existing tabs, click New group

    • Add commands to existing tabs

    • To create new tab, click New Tab

    • Export/Import customized Ribbon bar

    • Reset Quick Access Toolbar customizations

 

Using Quick Access Toolbar   

  • By default it contains Save, Undo and Redo icons.

  • To customize the Quick Access Toolbar, do one of the following:

    • Right click on any command under command tabs > click Add to Quick Access Toolbar

    • On the Quick Access Toolbar, click the down arrow
