Use Contact Groups

In Outlook 2011, the contract group replaces the traditional distribution list. It is a list of names to which the sender frequently sends out a communication, typically an e-mail message

 

Create a Contact Group

1.   Click on the Contacts icon on the View Switcher, do one of the following:

  • From the Ribbon, go to Home tab > click on the Contacts Group
  • From the Menu Bar, go to File menu > point to New > click Contact Group

2.   In the Contact Group dialog box, do the following:

  • Enter the name of the new contact group
  • Select Use Bcc to hide member information  check box to hide the e-mails of other members in the group, as a way of protecting their privacy
  • Under the Name box, double click to start typing the first name
    • If the name is already in your contacts,  it will AutoFill
  • Click Save and Close when finished

3.   The new contact group will be displayed in you contacts list

  

 

Add Members to a Contact Group

1.   Double click the Contact Group to open the Contact Group dialog box


 

 

  • Click  button to add more contacts to the group

  • Click  button to  remove contacts from the group

2.   Edit the contact group card in the Reading Pane by clicking on the parts you wish to edit

 

 

Send an E-mail through Contact Group Members

1.   Double click the Contact Group

 

2.   In the Contact Group dialog box, click on the  E-mail button

 

3.   From the Ribbon, go to Home tab > click on New E-mail > enter first couple of letters in the Contact group name
