Use Notes

Outlook Notes work well for jotting down information or ideas that you don’t want to forget



Create New Notes

1.   Click on the Notes icon in the View Switcher

 

2.   From the Ribbon, go to Home tab > click on the Note button

 

3.   Type in the title in the empty bar at the top of the Note

4.   Click in the white area and type your note

 

5.   From the Menu Bar, go to the Format menu to select formatting options from the drop down menu

 

6.   Click on the X in the left hand corner > click Save button and the note will appear in your list

 

 

Save Entire Web Pages Into a Note

Outlook Notes also understand HTML formatting so you can save entire web pages into a note

1.   Go to your web browser and open the web page you wish to save

2.   Click somewhere on the page that is not a link

3.   Press COMMAND(⌘)+A to select all

4.   Do one of the following:

  • Press COMMAND()+C
  • From the Menu Bar, go to Edit menu > click Copy

5.   Click on the white space in your Note  and do one of the following:

  • Press COMMAND()+V 
  • From the Menu Bar, go to Edit menu > click Paste
  • An image of the entire web page is saved in the note

 

6.   Click on the X in the left hand corner, and click Save button and the note will appear in your list

 

Modify Existing Notes

When a task has been added to your list, you can continue to edit it in the Reading Pane

1.   In the Items Pane, select a desired note you want to edit     

2.   Do any of the following:

  • In the Reading Pane, click the text are of the note to edit the note
  • From the Ribbon, go to Home tab > use the edit options

 

Add a Picture to an Existing Note

1.   In the Items Pane, select a desired note you want to

2.   In the Reading Pane, click on the text area of the note to place a picture

3.   From the Ribbon, go to Home tab > click on the Picture button > select a desired insert picture option

  • Media Browser 
  • Picture from File

 

Manage Outlook Notes

Change to Task View

1.   Click the Notes icon on the View Switcher

2.   Do one of the following:

  • From the Ribbon, go to Organize tab > click on Reading Pane > choose a desired option from the list
  • From the Menu Bar, click on the View menu > select Reading Pane > choose view option

3.   To sort by ascending or descending order, click on any of the column headings 

4.   To add more columns, do one of the following:

  • From the Menu Bar, go to View menu > point to Columns > check which columns you wish to appear
  • Right click on any header ð select a desired column heading tittle

5.   To re-order the columns for you list, do the following:

  • Click on the header for the column you wish to move
  • Drag and drop it to a new location

 

Arrange Notes

1.   Click the Notes icon on the View Switcher

2.   From the Ribbon, go to the Organize tab > click on Arrange By > click on an option to arrange your notes by

3.   To save a new arrangement, go to Organize tab > click on Arrange By > click on Make This the Default View

4.   To go back to the default arrange, go to the Organize tab > click on Arrange By > click on Restore to Default

 

 

Categorize Notes

1.   Click the Notes icon on the View Switcher

2.   From the Ribbon, go to Home tab > click on the Categorize button >  select the category you wish to place notes in

 

3.   Drag and drop notes into the category you wish to put it on the Navigation Pane

 

4.   Once you have categorized your notes, you can turn on and off the categories you wish to see or hide in the navigation pane

 

 

 

Share Outlook Notes

E-mail Notes

Make an E-mail Based on a Note

1.   Click the Notes icon on the View Switcher

  • In the Item Pane, select a note you wish to  send
  • From the Ribbon, go to Home tab > click on the E-mail button   

2.   A new e-mail will open with the title of the Note as the subject line and the contents of the note will appear in the body of the e-mail

 

 

Forward a Note Via E-mail

You can also forward a Note via e-mail as an html formatted attachment which can be opened like a stand-alone web page

1.   Click the Notes icon on the View Switcher      

2.   In the Item Pane, select a note you wish to  send

3.   From the Ribbon, go to Home tab > click on the Forward button

 

4.   A new e-mail will be opened with the note attached in HTML format

 

Print Notes

1.   Click on Note icon on the View Switcher

2.   From the Menu Bar, go to File menu > click Print

3.   In the Print dialog box, do the following:

  • Click the blue arrow to expand the dialog box


 

  • Select options such as selecting which printer to use or how many copies to print
  • Click the Print list down arrow> choose a desired option
    • All Notes
    • Selected Notes
  • Under Note Options section,  select a desired printing notes option
    • Pictures in notes
    • Note backgrounds
  • Under Page Optionssection,  select a desired additional printing option:
    • Date and Time
    • Page numbers
  • Click Print button
