Work with Signatures

Create a New Signature in Outlook

1.   From the Menu Bar, go to Outlook menu > click on Preferences…

2.   In the Outlook Preferences dialog box, under the E-mail section, click Signatures

 

3.   In the Signatures dialog box, do the following:

  • Click on the + in the lower left corner of the window
  • Under Signature name column, double click Untitled to name a new signature
  • Under Signature box,  enter your desired signature
  • If desired, click the Format menu from the Menu Bar to select options to change the font, style, size, color, and highlight of the text

 

Set Default Signatures

1.   From the Menu Bar, go to Outlook menu > click on Preferences…

2.   In the Outlook Preferences dialog box, under the E-mail section, click Signatures

3.   In the Signatures dialog box, do the following:

  • Click on the Default Signatures… button
  • In the window that opens up set a default signature to specific e-mail accounts,  do the following
    • Under Account column, select a desired account
    • Under Default signature column, click the drop down arrow and choose a desired signature or Random to randomly apply signatures to that account
    • Click OK button
  • If you selected Random for one of your accounts, the check boxes in the random column are now available. Click on the box next to the signatures that you want to randomly appear

 

How to Insert a Signature

1.   Compose a new mail message

  • If have multiple signatures set up, the automatic signature will be the default signature
  • If you set a default signature for that account it will appear

2.   Go to Message tab > click the down arrow next to the Signature button, click the appropriate signature in the drop down list and it will be added to bottom of the e-mail.
