Apply Basic Formatting

 

 

Change the Format of an Entire Document

1.   Highlight/select entire text of the document or press COMMAND()+ A

2.   From the Ribbon, go to Home tab > Font group

  • Choose the new font face from the Font Face list

  • Choose the new font size from the Font Size list or click on Grow Font/Shrink Font command

  • Keyboard shortcut to grow font: SHIFT + COMMAND(⌘)+ >
  • Keyboard shortcut to shrink font:SHIFT + COMMAND(⌘)+ <

3.   Choose the other font attributes such as Bold, Italic, Underline, Strikethrough, Subscript, Superscript, Font Color, Highlight Text, and Text Effects in the Font section on the Ribbon


  • Keyboard shortcut to bold the text: COMMAND(⌘)+ B
  • Keyboard shortcut to italicize the text: COMMAND(⌘)+ I
  • Keyboard shortcut to underline the text: COMMAND(⌘)+ U
  • Keyboard shortcut to subscript the text: COMMAND(⌘)+ =
  • Keyboard shortcut to superscript the text: COMMAND(⌘)+ SHIFT + +

 

Change Format for Random Text of the Document

1.   Highlight/select a text in the document

2.   Hold COMMAND(⌘)+click and select the another text in the document

3.   Repeat until you have selected all the text in the document

4.   From the Ribbon, go to Home tab > Font group and do any of the following:

  • Choose the new font face from the Font Face list

  • Choose the new font size from the Font Size list or click on Grow Font/Shrink Font command

    • Keyboard shortcut to grow font: SHIFT + COMMAND(⌘)+ >
    • Keyboard shortcut to shrink font: SHIFT + COMMAND(⌘)+ <
  • Choose the other font attributes such as Bold, Italic, Underline, Strikethrough, Subscript, Superscript, Font Color, Highlight Text, and Text Effects

 

    • Keyboard shortcut to bold the text: COMMAND(⌘)+ B
    • Keyboard shortcut to italicize the text: COMMAND(⌘)+ I
    • Keyboard shortcut to underline the text: COMMAND(⌘)+ U
    • Keyboard shortcut to subscript the text: COMMAND(⌘)+ =
    • Keyboard shortcut to superscript the text: COMMAND(⌘)+ SHIFT + +

 

Change Formatting of the Text in Font Dialog Box

1.   Right click the text

2.   Select Font from the menu that appears which will open the Font dialog box



 

Find the Formatting of a Particular Text in the Document

1.   From the Menu Bar, go to View menu > click Reveal Formatting

2.   The mouse pointer will change to look like a cartoon dialog bubble. When you click on a character in the text it will provide formatting information

 

Format a Section in the Document Based on Another Section

1.   Do the following:

  • Highlight the sample section
  • From the Standard Toolbar, click on the Format Painter button
  • Paint the section needs the formatting
  • The formatting for the selected section will be applied to the painted section

2.   To format more than one section, double click on the Format Painter button and then paint the sections that need the formatting
