Modify Graphics in the Document

  • Using images, Clip Arts, shapes, charts and diagrams to illustrate an idea, or to serve as a symbol that helps readers remember the text and make a connection to the text
  • Word 2011 has a number of tools used for manipulating graphics in the documents such as: Re-size, Crop or Position

 

Resize Graphics Manually

1.   Click the graphic to resize

2.   Drag a sizing handle away from or toward the center to increase or decrease the size in one or more directions

 

Resize to an Exact Height and Width

Resize a Picture or Clip Art

1.   Click the picture or Clip Art you want to resize  

2.   Do one of the following:

  • From the Ribbon, go to Format Picture tab > Size group > enter the measurements into the Height and Width boxes

  • From the Menu Bar, click Format menu > select Picture > select the Size tab in the Format Picture dialog box > clear the Lock aspect ratio check box in Scale section to set specific sizes

 

Resize a Shape

1.   Click the shape you want to resize

2.   Do one of the following:

  • From the Ribbon, go to Format tab > Size group > enter the measurements into the Height and Width boxes

  • From the Menu Bar, click Format menu > select Shape > select the Size tab in the Format Shape dialog box > clear the Lock aspect ratio check box in Scale section to set specific sizes

 

Rotate Graphics to Any Angle

1.   Click the graphic to rotate

2.   Drag the green rotation handle in the direction that you want to rotate the graphic

 

Rotate Graphics to Specify an Exact Rotation

Rotate a Picture or Clip Art

1.   Select the picture in the document

2.   Do one of the following:

  • From the Ribbon, Go to Format Picture tab > Arrange group > select either Rotate Right 90° or Rotate Left 90°

  • From the Menu Bar, go to Format menu > select Picture > click Size tab in the Format Picture dialog box > enter the amount to rotate the object in the Rotation box > click OK

1.   Select the shape in the document

2.   Do one of the following:

  • From the Ribbon, Go to Format tab > Arrange group > select either Rotate Right 90° or Rotate Left 90°

  • From the Menu Bar, go to Format menu > select Shape > click Size tab in the Format Shape dialog box > enter the amount to rotate the object in the Rotation box > click OK

 

Crop Graphics to Reduce the Size

Cropping reduces the size of the picture by removing vertical or horizontal edges. Cropping is often used to hide or trim a part of a picture, either for emphasis or to remove unwanted portions.

 

Crop a picture or Clip Art 

1.   Select the picture or Clip Art that you want to crop

  • Go to Format Picture tab > Adjust group > click on Crop 

2.   Do one of the following:

  • To crop one side, drag the center cropping handle on that side inward.
  • To crop both sides equally, press and hold OPTION key while drag the center cropping handle on either side inward.
  • To crop all four sides equally at the same time, press and hold OPTION key while drag a corner cropping handle inward.

Return the Original Size of the Picture

The picture won’t return to its original size if it was previously cropped and saved

1.   Select the cropped picture

2.   Go to Format Picture tab > Adjust group > click on Crop > drag cropping handles out to original picture size

 

Insert Text into the Shape

1.   Right-click on the shape

2.   Click Add Text

 

Include an Image within a Shape 

1.   Select the image

2.   From the Ribbon, go to Format Picture tab > Adjust group > click on the down arrow next to Crop > click on Mask to shape, and then select the desired shape


 

Set Position of Graphics in the Document

Position the Picture or Clip Art

1.   Select the picture

2.   From the Ribbon, go to Format Picture tab > Arrange group > click on Position > select the desired position option from the list

 

Position the Shape in the Document

1.   Select the picture

2.   From the Ribbon, go to Format tab > Arrange group > click on Position > select the desired position option from the list

 

Modify Text Around Graphics

Word 2011 automatically moves inserted graphic nearby the text. Therefore, it’s necessary to control the relationship between the image and text using text wrapping

 

Wrap Text Around a Picture

1.   Click the image to select it

2.   Click the contextual tools tab

  • The Format Picture tab is for photograph
  • The Format tab is for shapes
  • The SmartArt Tools Format tab is for SmartArt charts

3.   In the Arrange group, click Wrap Text

4.   Do one of the following:

  • Click Square to wrap text around the border of your image

  • Click Tight to wrap text closely around a clip art image or an irregularly shaped picture

  • Click Behind Text to display the text over the image

  • Click In Front of Text to display the image over the text

  • Click Top and Bottom to place the image on its own line

  • Click Through and then click the Edit Wrap Points, in the document, to drag the wrap points closer to the image, so that text can fill in more of the negative space around the image

 

Adjust Distance Between the Text and the Image

1.   In the Arrange group, click Wrap Text > choose More Layout Options

2.   In the Advanced Layout dialog box, do the following:

  • Click the Text Wrapping tab
  • Under Distance from text, enter the desired the measurements into boxes

 

Layout Text and Graphics with a Table

Layout of text and graphics in the table is called Parallel Columns, where information in column A, B, and C go together. Therefore, Layout Tables are used for keeping text and graphics in a particular relationship to each other

1.   Press COMMAND(⌘)+ HOME to go to the beginning of the document

2.   Press RETURN to make some spaces

3.   Insert a table

  • Select graphics or text to place into the table
  • Drag and drop them to the desired cell in the layout table

 

Align the Content in the Cells

1.   Select the entire of table

2.   Do one of the following:

  • From the Ribbon, click on Table Layout tab > Alignment group  > select Center box 

  • From the Menu Bar, go to Table menu > click Table Properties

  • Click Cell tab in the Table Properties dialog box > select Center box under Vertical alignment section > click OK

 

Remove the Border for the Table

1.   Select the table

2.   From the Ribbon, go to Tables tab > Draw Borders group > click on the down arrow at Borders > click on None

 

Adjust Brightness, Contrast, and Sharpness of Photos

Word 2011 has great editing tools to fine tune photographs

1.   Select the photo to edit

2.   From the Ribbon, go to Format Picture tab > Adjust group > select the appropriate tool to edit the picture

 

Apply Special Effects to Graphics

Recolor the picture

1.   Select the photo to apply effects

  • From the Ribbon, go to Format Picture tab > Adjust group > click on Recolor
  • Select a desired recolor option from the gallery

 

Filter the Color of the Picture

The Filters are an entire palette of options that retouch the photograph and apply impressive effects

1.   Select the photo to apply effects

  • From the Ribbon, go to Format Picture tab > Adjust group > click on Filters

 

Reset to the Original Picture

1.   Select the formatted picture that you want to reset to original

  • From the Ribbon, go to Format Picture tab > Adjust group > click on Reset Picture 

 

Compress Images

If the document has a number of images in it, it’s wise to compress all the pictures before emailing it to other people

1.   Select an image to compress

2.   From the Ribbon, go to Format Picture tab > Adjust group > click on Compress

  • In the Reduce File Size dialog box, do the following:
    • Under Picture Quality, select the following options:
      • Select the type of picture resolution depending on what you are going to do with the document
      • Select Remove cropped picture regions check box to delete unwanted cropped areas permanently
    • Under Apply to, select All pictures in this file check box to compress all pictures in the document

3.   Click OK

 

Apply Styles to Graphics

Picture Styles including the border, effects, and layout are used to format the style of the picture

1.   Select the image

2.   From the Ribbon, go to Home tab > Format Picture tab > Pictures Styles group

  • Use the following tools to apply the picture styles:
    • Picture Styles Gallery
    • Picture Border
    • Picture Effect
    • Picture Transparency
